People overview

The People section holds employee records managed in Mod AI. These records power approval routing. Most employees are not Mod AI users, but they still appear here because your approval policies need to route to real people in your organization.

Employees vs. users

These are two separate concepts.

  • Employee. A company-managed record representing a person in your organization. May or may not have a Mod AI login.
  • User. A person who has a Mod AI account and can log in.

An employee record exists because that person can participate in company workflows such as approvals. A user account exists because that person has been granted access to Mod AI.

Why that distinction matters

Approval routing uses employee records to decide who approves what. That lets approval policies reference people who are not Mod AI users yet.

For an employee to actually log in and act on an approval, they need a linked user account. See Linking employees to users.

Employee fields

Each employee record includes:

  • Name.
  • Email.
  • Status (Active or Inactive).
  • Whether the employee is linked to a Mod AI user account.

The People page

Open Settings → Company → People. The list shows employee records with key details and link status (whether the record is connected to a Mod AI user).

Company admins with employee-management access can create, edit, archive, and link employee records in Mod AI. If you do not see those controls, ask your Mod AI admin or implementation manager to update the record for you.

Only company admins with employee-management permissions can open and manage the People section.
