Understand invoice and email validation

Clerked uses one registered catalog of checks to find issues during email intake and invoice processing.

Follow an item through validation

Each check belongs to one stage, so you can tell when it runs and what it can affect.

StageWhat Clerked checks
Email ingestionWhether an incoming email can enter the intake workflow. A Block disposition at this stage can stop intake.
Attachment reviewWhether an attachment should continue as a document candidate.
Email processingWhether the email and its selected attachments are ready for document processing.
Document processingWhether an invoice has the required data and passes its configured invoice checks.

The catalog defines the stage, allowed actions, data requirements, and fine-tuning fields for each check. Your company saves choices only within those catalog limits.

ActionWhat happens when the check finds an issue
OffClerked does not route the result for review.
WarnClerked shows the result so a reviewer can check it.
ReviewClerked requires a person to review the result.
BlockClerked stops the catalog-defined operation. This action appears only where the check allows it.

Block is not limited to email. Some invoice and export checks also use it, while other checks allow only Off, Warn, and Review. Runtime-managed export blocks may appear during export without being editable on the settings page.

See where results appear

Invoice validation results appear with the invoice, including notices near the invoice title and messages tied to the affected data. Email and attachment results appear in their review workflow.

When you correct invoice data, run validation again so Clerked can check the saved values and refresh the results. Validation does not replace approval or ERP rules, so an invoice may still need approval or pass an export-time check afterward.

Configure your company settings

Users with company:validation:manage, shown as Manage validation checks, can open Settings, select Configurations, and then select Validation checks. The page groups registered checks by stage and shows only the actions and fine-tuning fields that each check supports.
