Fields overview

Your environment may differ

Field names and available options like cost centers, departments, item types, charge categories, and validation rules are configured for each customer's accounting setup. The exact labels you see may differ from this article. That's by design.

The Fields section of the platform brings your chart of accounts and dimension values together under one surface. Everything here syncs from your ERP and powers the coding interface on invoices and POs.

Open it by clicking Fields in the left sidebar.

What lives in Fields

The Fields page renders a tab for every reference-data type your ERP exposes. Common tabs:

  • Chart of Accounts. Your GL account structure.
  • Cost Centers, Departments, Projects, Locations, Classes. Whatever dimension types your ERP maintains.

The tabs are manifest-driven, so the exact set you see depends on your ERP configuration. If your ERP has three dimension types, you see three dimension tabs. If it has seven, you see seven.

How it syncs

Mod AI pulls Fields data from your ERP over your integration. Changes you make in your ERP (adding, renaming, or deactivating accounts or dimension values) sync to Mod AI automatically. You do not maintain this data in Mod AI.

The Chart of Accounts tab

The Chart of Accounts tab shows every GL account with:

FieldDescription
Account NumberThe code (for example, 5200).
Account NameThe descriptive name (for example, "Office Supplies").
Account TypeExpense, Asset, Liability, Equity, or Revenue.
Parent AccountThe parent account in the hierarchy, if applicable.
StatusActive or Inactive. Inactive accounts are not available for coding.

Accounts can have parent-child relationships, creating a hierarchy:

  • 5000 Operating Expenses
    • 5200 Office Supplies
      • 5210 Paper and Printing
      • 5220 Furniture and Equipment
    • 5300 Shipping
    • 5400 Utilities

How accounts appear on invoices

When you code a line item, GL accounts show up in a searchable dropdown. You can:

  • Search by account number or name.
  • Browse the hierarchy by expanding parent accounts.
  • See recently used accounts for quick selection.
